Changing Payroll Supplier?

This evaluation questionnaire was published by us back in April 2007 which is intended to assist your company  in choosing the right payroll company for your organisation.

If your answer is NO to more than 5 of these questions then you should seriously consider outsourcing or changing your current provider

Payroll Administration Experience - Are you using a company who's  only business activity is providing payrolls for small companies?

Is your payroll supplier BACS approved?  Only Bureaus that are financially stable with robust internal security systems will attain this accreditation.

Is your payroll supplier ISO9008 accredited?  Only a few payroll bureaus have this ISO9001 quality systems.

Is the person responsible for overseeing your payroll fully qualified with The Institute Of Payroll & Pensions Management diploma?  Anyone can setup a payroll bureau and many are self taught so how do you know if they are qualified?.

Does your payroll supplier invest in their staff payroll qualification training to Investors In People Standards?  All our staff have payroll or Accountancy qualifications.

Certain businesses have unique payroll and pension requirements. Does the company have more than 10 years payroll experience in your business sector which can be proven by existing clients real references? 

Does the current supplier specialise in small businesses payroll but also have the infrastructure to accommodate should your staff numbers increases or if you purchase other companies?   

If you employ 50 or less staff, did you receive the HMRC online filing incentive last year or will you get it this year?

Help Desk - Does the company provide a manned helpdesk during business house Mon-Fri and providing online support 24 hrs 7 days per week? 

Can you rely on the organisation to get it right when it comes to complex payroll issues? Inferior providers will leave it to your company to calculate retrospective pay increases or complex spinal pay bands.  They probably won't monitor the minimum wage, sick or maternity pay either.   

References and Costs - Can you trust the organisation to charge you a competitive fixed price for the same comparable service without imposing high price increases once they have got you?  Some companies offer a free trial  as they cannot sell you on quality. This is then followed by a lower quality or comparatively expensive service knowing that due to time constraints, you won't bother to switch.  

Is the current provider happy to provide real references from existing clients in your field of business or locality? 

NHS Doctors Surgeries -  Is your NHS Pension Scheme data scan up to-date. i.e has your cyclic updates been submitted every year?

Risk Management - Do you have more than one person responsible for the payroll to cover for holidays?

Can you rely on your organisation data storage facilities, contingency plans and compliance with the Data Protection Act?
