UK Managed Payroll Service For Care Homes

Payroll costs for residential caring homes and hospices

Due to many residential care homes for older people being under-funded by the Local Authority, budgetary accounting is vital.

With around 440,000 places in the residential care home sector, there is a growing need to provide a robust payroll infrastructure in your organisation. This will help you meet your care staffing needs within your set budget.

Outsourcing the payroll function is naturally the most cost effective option.

Residential Care Homes staff typically have various pay elements shown on their payslips such as day or evening shifts, enhanced overtime rates, bonus schemes and bank holiday rates. We have several to choose from which is personalised with your care home logo. Our specialist payroll service for care homes is specifically tailored for your reporting needs.

Payroll Processing & Reports

We provide your care home with a pre-filled timesheet for your use already completed with your staff details together with a list of their normal pay description. If they are paid monthly, their contracted weekly hours will already be displayed. When the payroll timesheet arrives from your care home manager, it goes through our strict processing routine.

Many residential care homes use automated clocking in timesheet systems. We are happy to accept data from these systems as most are capable of exporting  the data in csv format. Provided the system can export the employee ID, unit description ID, unit rate and units worked, we can seamlessly import the data into the payroll system.  .

Due to our specialist knowledge of providing payroll services for the care home sector, we have the expertise to setup departments within your care home so that you can see the payroll cost for each cost sector.

Similar to doctors surgeries, the local authority is  responsible for meeting the assessed needs of your patients by arranging and funding part or all of the care home costs.   As payroll forms part of these costs, it is important that the reports are designed to reflect each area component.

We can split the costs into managerial, domestic care, residential care, administration, cleaning and so on, If you have several residential homes, we can expand our payroll reports to include cost centres for you.

Frequently Asked Questions

Due to Government cutbacks, we are on a tight budget.  Can you manage the minimum wage for our care home?

We have full expertise in monitoring and managing the national minimum wage (NMW).  As you can be fined for paying less than the NMW, this is an integral part of our payroll management service for care homes.

We have a complicated pay structure.  Can you cope with this?

We can setup several payments for your care home at no additional cost. As we already provide payroll services for many clients in the healthcare sector, we already have a payroll reporting infrastructure in place which can be specifically tailored to suit your own care home.

How can I check if any of my nursing home care staff have the right to work in the UK?

The checks required are already built in on our web based new starter form.  You can be fined if you employ an illegal worker in your care home.

My staff timesheets have start and finishing times in minutes over a 24 hour clock. I want to split their pay into night shift and morning shift. How do I present this information to you?

Timesheets like these are very common for residential care homes which we are used to.  We can either tailor your own in house timesheet to convert the hours into decimal or we can supply you with our own bespoke timesheet to collect the information each month.

The information is seamlessly imported into our systems which are reconciled back to your original timesheet submitted.

I want my care staff to take home £150 bonus this Christmas.  How do we calculate the tax and national insurance?

We can do this for you. Our timesheets has a column for the net bonus. The employees tax and national insurance is added on which you have chosen to pay on the employees behalf.  All this is reconciled back to your original timesheet submitted.
